Website form routing
Send supported form submissions to an agreed destination with the available source, service and consent context.
Bring calls, forms and follow-up into an agreed process, so your team knows who should respond and what happens next. Connections depend on the systems your clinic uses.

Supported examples
Explore examples of connections that can support the enquiry journey. We confirm the available features, access, permissions, privacy requirements and test results before agreeing your clinic’s integration scope.
Send supported form submissions to an agreed destination with the available source, service and consent context.
Preserve available campaign or channel information when a supported connection can pass it reliably.
Define practical stages such as new, contacted, booked, follow-up required and closed, with a named owner.
Organise clinic-approved wording for acknowledgements, callbacks and non-clinical follow-up.
Create supported reminders for outstanding enquiries without claiming that a person has completed the action.
Record an available booking reference or status where the clinic's systems expose it safely and reliably.
Source-of-truth rules
A connected view is only useful when the clinic knows which record should be trusted for each stage. Different fields may have different authoritative systems.
Agree which system owns contact details, consent, appointment status, enquiry stage and commercial outcome.
Keep the available source and timestamp so the clinic can see where a record came from and when it changed.
A workflow should not replace newer or clinically important information without an approved rule and audit trail.
Missing, delayed or disconnected data should be labelled rather than presented as a complete patient journey.
Implementation workflow
The workflow is designed around what the clinic can operate consistently, not the maximum number of possible automations.
Document where calls, forms, messages and bookings enter the clinic today.
Agree the source of truth, useful statuses, owners and privacy boundaries.
Configure only the routes, fields and prompts supported by the agreed systems.
Check sample records, failure routes, duplicates, timestamps and staff handovers before relying on the workflow.
Monitor adoption, exceptions and known data gaps, then assign the next improvement.
Human ownership
Automated routing or reminders do not prove that a patient received an appropriate response, was clinically suitable or booked an appointment.
A named person or team reads the enquiry, decides the appropriate response and acts within the clinic's service standard.
Qualified clinic staff handle medical suitability, treatment advice, risk and other clinical communication.
The clinic confirms availability, books the appointment and completes personal follow-up where required.
A clinic owner approves statuses, templates, access, escalation rules and any material process change.
Privacy and data responsibilities
A technical connection does not create permission to use patient data. The clinic's legal, privacy and clinical responsibilities continue to apply.
This page explains operating principles, not legal advice. Exact controller, processor and subprocessor responsibilities must be confirmed in the relevant contracts and privacy documentation.
Confirm the clinic's lawful basis, notices and consent requirements for each channel.
Collect and transfer only the data needed for the agreed enquiry purpose.
Limit access by role and remove access when responsibilities change.
Agree retention, deletion and duplicate-record handling with the clinic's source systems.
Keep clinical data out of marketing tools unless the approved system and workflow specifically require it.
Document third-party providers, permissions and known transfer or integration limitations.
Separate technical quote
The standard service does not assume custom engineering, migration or complex infrastructure. These areas are scoped separately when required.
Bespoke endpoints, webhooks, middleware, retry services or unsupported platform connections.
Historic record migration, deduplication, field mapping, transformation or database repair.
Complex call routing, recording, transcription, number migration or provider-specific implementation.
Complex permissions, shared records, location routing or cross-brand workflow design.
New data models, business-intelligence builds or reporting beyond the agreed ClinicGrower scope.
Single sign-on, penetration testing, formal data-protection assessments or specialist legal/compliance work.

Clear answers about supported connections, human ownership, source-of-truth rules, privacy and separately quoted technical work.
No. ClinicGrower works with the agreed systems and operating process where practical. It is not a replacement CRM, patient record or booking platform.
No. Connection depends on available APIs, permissions, platform restrictions, data quality, privacy requirements and the clinic's current systems. Unsupported or unreliable sources are documented as limitations.
The source of truth is the agreed authoritative system for a specific field or outcome. A clinic may use one system for consent and contact details, another for appointments and another for financial outcomes. Those ownership rules must be defined before data is connected.
Not by default. Approved acknowledgements or reminders may be supported, but the clinic remains responsible for reading enquiries, personal follow-up, clinical communication and booking decisions unless a separate service is explicitly agreed.
Responsibilities depend on the systems, contracts and processing arrangement. The clinic remains responsible for its lawful use of patient data, notices, access, accuracy, retention and clinical governance. ClinicGrower responsibilities are limited to the agreed scope and contract.
The workflow should have a visible failure route, named owner and manual fallback where appropriate. A failed connection must not be treated as proof that no enquiry or patient action occurred.
Custom development, migrations, complex telephony, bespoke middleware, advanced multi-location architecture, data warehousing and specialist security or compliance engineering normally require discovery and a separate written quote.
