Who we are

MONERIS LTD, company number 17164235, trading as ClinicGrower, of 4 Capricorn Centre, Cranes Farm Road, Basildon, Essex, SS14 3JJ is the controller of the business contact information described in this notice.

You can contact us, object to direct marketing or make a privacy complaint at support@clinicgrower.co.uk .

Why we use business contact information

  • identify UK clinics that may reasonably benefit from our clinic-growth services;
  • prepare and send a relevant, evidence-based business approach;
  • provide or discuss a requested Clinic Growth Audit;
  • respond to enquiries and manage business relationships;
  • record objections, opt-outs and suppression;
  • maintain security, accuracy and compliance records.

Information we use

We may use a company name, website and corporate status; a business contact’s name, work role and corporate email address; the source and collection date; a short business-relevance note; and email delivery, reply, meeting and opt-out status.

We do not seek patient, clinical, health or other special-category information for this purpose.

Where the information comes from

Information may come from Companies House, your organisation’s own website, a direct enquiry or referral, or our existing first-party business records. If we use a reviewed licensed source in future, our internal record will identify it. We do not use scraped LinkedIn data or purchased bulk lists.

We record the specific source as far as practicable. If you want to know the source used for your details, contact support@clinicgrower.co.uk .

Lawful basis and electronic marketing

For limited information about named contacts at verified UK companies and LLPs, we rely on legitimate interests to make a relevant business-to-business approach. Our interest is to introduce services that may be relevant to the recipient’s professional role. We balance that interest against privacy rights through strict targeting, data minimisation, low frequency, transparent sourcing, no tracking pixels, human review and immediate suppression on objection.

We do not use this basis for cold email to sole traders, ordinary partnerships, personal email services or uncertain entities. Existing-client or subscriber marketing is handled separately using the consent, soft opt-in or other applicable basis recorded for that relationship.

Who receives the information

Authorised ClinicGrower personnel and contracted service providers may process the minimum information needed for business email, suppression, security and AI-assisted drafting. Our planned providers include Google Workspace for business email, Smartlead for outbound sequencing only after its UK transfer safeguards are verified, and Mailchimp for the separate audited client or subscriber nurture activity.

We do not sell business contact information. We do not put cold prospects into Mailchimp.

International transfers

Some service providers may process information outside the UK. Before we allow prospect information to be transferred, we require an applicable UK adequacy regulation or an Article 46 safeguard such as the ICO International Data Transfer Agreement or UK Addendum, together with the required transfer risk assessment and any additional measures. A provider with an unresolved transfer mechanism is not activated for prospect information.

Retention

Prospect information that does not become an active business relationship is normally deleted 90 days after the last activity. We keep only the minimum information needed to honour an objection and prevent another contact, and review the need for that suppression record annually. Relationship records may be retained longer where required for contracts, legal claims, accounting or another documented purpose.

Your rights

Depending on the circumstances, you may ask for access, correction, deletion, restriction or portability. You have an absolute right to object to the use of your personal information for direct marketing at any time.

Reply to any message with “no”, “unsubscribe” or equivalent wording, or contact support@clinicgrower.co.uk . We will stop direct marketing and keep only the minimum suppression information needed to prevent another contact.

You can also make a privacy complaint to us at support@clinicgrower.co.uk . You may complain to the Information Commissioner’s Office .

AI and automated decisions

AI tools may assist with public-business research and drafting. A human reviews recipient eligibility, source evidence, relevance and the message before any initial pilot email is released. We do not use solely automated decisions that produce legal or similarly significant effects in this process.

Changes

We will update this notice if the purpose, sources, providers, retention or other material processing changes.
